The e-Flex system
The heart of the administrative process is the cutting-edge e-Flex system. Based on an open infrastructure, Multi Tank Card has developed a platform that offers room for sophisticated data communication, transaction and information technologies. This application can easily be expanded depending on technological developments and the client’s needs.
Source of valuable information
All information is available, top down and in real time, allowing information to be compared and/or combined over several months or years. Information can be accessed, viewed, selected and combined to form a complete set of information via a web browser. All in just a fraction of the time required for traditional methods. Information and transactions are available 24/7.
Open infrastructure
Thanks to the new open infrastructure, this application can easily be expanded depending on technological developments and the client’s needs.
Online control of fuel cards
In addition to retrieving information there is also an option available to apply for or block fuel cards online; all relevant information for the fuel card can be updated online.
Retrieving files in the format of your choice
The system allows you to select and ‘retrieve’ (print) files in the format of your choice allowing you to process the information quickly and efficiently. Also you can integrate the files into your other systems. For instance: an invoice attachment including all (fuelling) transaction information. And you can merge all files, such as applications for fuel cards, directly into the e-Flex system.
Access via a standard web browser
You have access to Multi Tank Card and all information stored there via a standard web browser. You can connect via the Internet, or you can set up a direct connection via ISDN or modem. In order to gain access you need to enter a user name and password.
All mutations take place in real time
You can immediately see the status of the fuel cards, for instance if they have been sent. And you can view the gas purchases. You do not have to wait until the information has been processed.
Authorization
Multiple employees or third persons (clients) can specifically be authorised for various jobs.
Entering changes
You can apply for, block and extend the validity of fuel cards. Based on a reference number, you can also block a group of fuel cards. Certain specific information can be saved and changed for a single fuel card or a group of fuel cards. If you choose to have the fuel cards sent to the drivers directly, you could write your own accompanying letter to be sent with it.
Retrieving information
The e-Flex system allows you to retrieve various types of information such as information regarding one specific fuel card or a group of fuel cards. This allows you to see which options are linked to a certain fuel card. All history and (fuelling) transactions for a certain fuel card can be retrieved also. Naturally information on gas consumption is available as well. A PIN mailer can be applied via e-Flex which immediately will be available online. If required, the PIN mailer can be sent to you. All relevant information is saved, thus building an extensive history, which will allow you to check who did what and when.
Expense accounts
Fuel expense accounts can be entered into the e-Flex system and processed either by Multi Tank Card, the fleet owner or the driver. You can indicate in the system who is allowed to enter the expense account and who may approve it.
Retrieving files
If you use your own computer system you can receive the information in the file format of your choice, which you can then integrate into your (own) system. For instance: an invoice attachment including all (fuelling) transaction information. And you can merge all files, such as applications for fuel cards, directly into the e-Flex system.
System management
A supervisor has the option to create co-users. He/she can indicate which users are authorized to use certain functions.
Drivers
Drivers can also retrieve information. Via this website, the driver can login by entering his fuel card number, license plate number and PIN code. Here (fuelling) transaction information and fuel consumption can be retrieved and expense accounts can be entered.
